- Eligibility for Make-Ups:
- Minimum Attendance: A make-up match is only permitted if less than 4 players are present at the scheduled time for the match.
- Replay Rule: If 4 players are present, the match must be played using the league’s replay rule (details of this rule should be outlined in the league’s official rules).
- Initiating a Make-Up:
- Contacting the Opposing Captain: The captain of the team needing to reschedule must contact the captain of the opposing team.
- Minimum Notice: A minimum of 2 hours’ notice must be given to the opposing captain.
- Mutual Agreement: Both captains must mutually agree on a new date and time for the make-up match.
- A new date and time should be negotiated at the time of notification of the need to schedule the makeup.
- If a date and time cannot be agreed upon the league operator or league representative will set a date and time for the makeup.
- Scheduling Restrictions:
- One Make-Up at a Time: A team can only be in the process of making up a match with one other team at any given time. This prevents scheduling conflicts and ensures fairness.
- Consequences of Non-Compliance:
- Forfeiture: If a team fails to follow this process, including the 2-hour notice requirement, the team will forfeit the set or match.
- With the exception of if there are only 4 players available. Then the replay rule applies but notification of the need to use the replay rule must be made at the beginning of the match
- Forfeit Points: A forfeited set will result in a penalty of 200 points. The maximum points that can be forfeited for an entire match (5 sets) is 1000.
- Documentation:
- Communication Records: It is highly recommended to keep a record of all communication regarding make-up matches, including the date, time, and content of the communication. This documentation can help resolve any disputes that may arise.
- It is recommended that both captains inform the league operator or league representative of the make up schedule (this avoids disagreements and provides evidence of the plan).
- It is recommended that captains in the same division gather share contact information with each other at the beginning of each session
- It is recommended that when a forfeit is entered into the scoring system that the captain of the team receiving the forfeit inform the league representative and/or the league operator.
- Exceptions
- While the process should be followed as much as possible, it may be necessary to make exceptions in certain situations (e.g., extreme emergencies). If there is an extreme case the league operator or division representative has the discretion to provide an exception to these rules.
- Makeups due to league events (Vegas Shootout, Michigan State Champs, National Champs) are exceptions to the one makeup at a time rule, but notification to the opposing captain ahead of time is still required.
Example:
- Team A needs to reschedule their match against Team B due to a lack of players.
- The captain of Team A contacts the captain of Team B at least 2 hours before the scheduled match time, proposing a new date and time.
- Both captains agree to the new date and time.
- The match is rescheduled accordingly.
Example 2:
- Team A only has 3 players available to play.
- The Captain of team A fails to inform the captain of team B 2 hours ahead of time.
- The replay rule will apply, and 4 sets will be played.
- The 5th set will be forfeited by Team A, resulting in 200 points being awarded to team B
Important Note: It’s crucial to have a clear and fair process for handling make-up matches to ensure the integrity of the league and to minimize disruptions to the schedule.
